One platform, or five tools?
Most companies evaluating something like this are not replacing one product — they are deciding whether to keep a CRM, a helpdesk, a wiki, a project tool and something that does invoicing, or to run the same work in one system. This page is the honest version of that comparison, including the parts where five tools are the better answer.
The five lines, and what changes
These are the cost lines from our published model, which you can run on your own numbers. Licences are the line everyone negotiates and the smallest of the five.

Where five tools are the better answer
This is not a close-run thing in every case, and a page that pretended otherwise would not be worth reading. Any one of these is a good reason to stay as you are.
Depth in a specialist function
A dedicated tool that has spent a decade on one problem will beat a module on that problem. If your support routing, your accounting, or your project scheduling is genuinely sophisticated, a platform module is a step down in that area even when the whole is better.
You have already paid the integration cost
The expensive part of a stack is building and maintaining the seams. If yours are built, stable, and owned by someone who is not leaving, the saving this page argues for has already been banked — consolidating now pays it again as a migration.
A team that knows the tools
Fluency is worth real money and does not transfer. Replacing five familiar tools costs weeks of everyone being slower, and that cost is immediate where the benefit is gradual.
Concentration risk
Five vendors means five things that can fail independently and five contracts you can leave separately. One platform is one vendor, one outage, one price rise. That is a real trade, and free data export is a mitigation rather than an answer.
Where one platform wins
All four of these come from the same property — one schema underneath — rather than from any individual feature.
The question that crosses everything
"Which accounts are at risk this quarter, and why" needs pipeline, delivery, tickets and invoices at once. On one graph that is a query. Across five products it is a spreadsheet somebody builds after something has already gone wrong, so the most valuable question gets asked quarterly at best.
AI that can see the whole business
A model is good at synthesis and entirely dependent on what it can reach. Give it one silo and it answers a fifth of the question fluently. This is the line that has changed most since 2023, and it is structural rather than a matter of model quality.
One permission model and one audit log
Who may see what is defined once and applied everywhere, including to the AI. Every action — human or automated — writes to one trail, so "what happened to this account last week" is one query rather than a reconstruction across systems.
Onboarding and offboarding that finish
One account to create and one to revoke. In a five-tool stack the leaver you forget is a security finding waiting to be written up, and nobody notices until an audit.
What one platform does not fix
- Migration is real work. Five systems of record have to become one, and the data in them disagrees — that reconciliation happens once, up front, whoever does it.
- Cyril is pre-launch. There are no published customers, no self-serve signup, and fully autonomous agentic mode is coming soon rather than shipped.
- Specialist depth in any single function will be thinner than a dedicated product built only for it.
- One vendor is one vendor. Free data export is a commitment that leaving is possible, not that it is effortless.
How to decide, in two questions
Who fixed the last broken sync, and how long did it take?
If nobody can name them, that cost is being paid by several people in fragments and is invisible in the budget. If it is one person and they are fine, your seams are healthy and this is a preference rather than a saving.
When did you last ask a question that crossed two systems?
If the answer is "we export things into a spreadsheet for that", the cost is not the export — it is every time the question was worth asking and nobody did.
Common questions
Is this comparison not a bit self-serving?
Of course it is — we publish it. What we can do is show the model, state every assumption, let you change the numbers, and name the cases where five tools win. Judge it on whether the "where five tools win" section is one you would have written.
Why does this page not compare you to a specific product?
Because most buyers here are replacing a stack rather than one product, and because Cyril is pre-launch with no customers. Making factual claims about established vendors from that position is not a comparison we can currently make fairly, and those claims decay as they ship.
What if we only want to replace two of the five?
That is the common case and it works — the modules are part of one platform rather than a bundle you assemble. You keep whatever seams remain, and the saving is proportionally smaller, which is exactly what the model shows if you zero the lines that do not apply.
How much of this is about AI?
The argument about the data model would hold if no model existed — it is an argument about one schema, one permission model and one audit log. AI raised the price of not having them, and made the shortfall visible, because an assistant confined to one silo answers a fifth of the question in a confident voice.
